Check what was posted
Every successful post is recorded against the thing that caused it, so you can go from an order or a receipt to the documents it produced.
Needs organisation-admin access.
Steps
- Open the order, goods receipt or supplier invoice.
- Look at its accounting activity.
- You see what was posted, as which kind of document, and when.
Reading an order with several documents
An order edited after invoicing has more than one, linked in a chain: the original, then a supplementary invoice or credit note for each change.
What has actually been invoiced is the sum of the chain, not the latest document. Reading only the most recent one will mislead you — it covers the change, not the total. See editing an order after posting.
If nothing was posted
Three possibilities, in the order worth checking:
It is still queued. Recently placed orders may not have gone yet.
It is held. Something could not be built — a missing account or connection. Check Issues; the fix is configuration and the entry releases itself once that exists.
It failed. It was sent and rejected. Check Failed posts for the error.
The three queues tells them apart.
Answering a customer query
If a customer questions an invoice, the chain is what you want — the original plus every supplementary document, which together state what they were actually charged.
Checking at the provider
Posted documents carry a reference back to what produced them, so a document in your accounting system can be traced to its order or receipt as well as the other way round.
If the two disagree on amounts, that is a reconciliation matter rather than a posting one — see resolve a reconciliation exception.
