Map an accounting category

Mapping tells Yessort which account in your accounting system a kind of activity belongs to. Until it exists, entries needing that account are held rather than posted.

Under Integrations in your organisation's settings; needs organisation-admin access.

Steps

  1. Open the accounting connection and go to the category mappings.
  2. Find the category you want to map.
  3. Choose the account from your provider's chart of accounts.
  4. Save.

Accounts are read from the connection, so you pick from your real chart rather than typing a code.

Which to map first

The ones producing held entries. Check the Issues queue and map what it is asking for — that is the shortest path to an empty queue.

Typically: inventory and goods received not invoiced for receipts, expense accounts for supplier bills, and cost of goods sold.

What happens when you save

Entries waiting on that account are released — nightly, or on the next live attempt. You do not need to find or re-run them.

So mapping an account clears a backlog as well as fixing the future. See hold, don't drop.

Sales revenue is not mapped this way

Sales posting uses your organisation's default revenue account. Per-variant accounting categories are not yet wired into it, so setting a category on a variant does not currently change where its revenue lands.

Categories are still worth keeping tidy, but do not expect one to split sales revenue across accounts today.

With Manual accounting

There is no chart of accounts to choose from, because there is no external system. Categories still exist and still organise your activity; there is simply nothing external to map onto.

Changing a mapping later

Affects entries posted afterwards. Documents already posted stay where they went — changing a mapping does not move them, and it should not, since they are real entries in your books.
