Resolve a reconciliation exception

Exceptions, under Accounting, lists documents where Yessort's records and the provider's no longer agree.

Needs organisation-admin access.

Nothing failed here

These posted successfully. The document exists at the provider. The two sides have since stopped matching, which is a different problem from a post going wrong — there is nothing to retry and nothing is blocked.

Read drift before difference

Each row shows our total against the provider total, with the difference between them, and provider total drift where the provider's figure has moved from what was originally posted.

Drift is the more useful column. A difference says the two do not match now. Drift says the provider's copy has changed since posting — which tells you the edit happened in the accounting system, not in Yessort. That is usually the whole answer.

Steps

  1. Open Exceptions under Accounting.
  2. Scan for patterns before working individual rows.
  3. For each, compare our total and the provider total, and check the drift.
  4. Decide which side is right, correct the other, and resolve the row.

Look for the pattern first

Rows are often symptoms of one cause.

Many rows, similar shape — usually a mapping problem sending things somewhere they do not belong. Fixing the mapping is worth more than resolving fifty rows.

A handful of unrelated rows with drift — someone editing documents in the accounting system. Normal, if that is how your bookkeeping works.

A few rows, no drift — the provider's copy has not moved, so the difference was there from the start. These are the ones worth real attention.

Deciding which side is right

The provider is right. An accountant corrected something deliberately. Note it and resolve.

Yessort is right. The document was changed in error at the provider. Correct it there.

Neither is quite right. Usually a mapping problem — check that before treating it as a one-off.

What resolving does

Records that you have dealt with it. It does not change either system: correcting the numbers is a job in whichever system is wrong.

Money arriving is a separate check — see reconcile a gateway payout. Reconciliation compares records; a payout compares cash.
