Set an invoicing strategy
An invoicing strategy decides whether each order gets its own invoice or a day's orders are combined into one.
It can be set on a channel or on a customer account. Both need organisation-admin access.
Decide where to set it
The question is whether this is about who is buying or where they bought.
Set it on the customer account when it is about that customer — a trade buyer who wants one invoice a day. This is the stronger setting: it applies wherever their orders come from.
Set it on the channel when the whole channel should behave one way by default — a trade portal where consolidated billing suits everyone, unless a particular account says otherwise.
The account overrides the channel. The intuition often runs the other way, so it is worth being clear: the channel's setting is a default for orders arriving through it, and an account's setting beats it.
What can override both
An order paid by more than one payment method always gets its own invoice. It cannot be bundled, because the payments would stop lining up with the document. This beats every other setting.
A payment method that invoices per order or defers opts an order out of an aggregating channel, so its payment and its document settle together. This works one way only — a method that could be aggregated never pulls an order into aggregation on a channel that invoices per order.
Steps
On a customer account: open the account and set Invoicing strategy override. Leaving it on Channel default hands the decision back to the channel.
On a channel: open it under Integrations and set the invoicing strategy in its settings.
If a setting seems to be ignored
Work down the list of things that beat it:
- Mixed payment methods on the order — overrides everything.
- The customer account's override — if you set the channel and nothing changed, check whether the account has one.
- A payment-method opt-out — an aggregating channel does not aggregate an order paid by a per-order or deferred method.
Steps
On a channel: open it under Integrations and set the invoicing strategy in its settings.
On a customer account: open the account and set it there.
The two strategies
An invoice per order — one order, one document. Easy to trace, and what a consumer expects.
Aggregated daily — eligible orders from a day combined into one. Fewer documents, which matters for a customer ordering repeatedly.
What it does not change
The same revenue, the same tax, the same accounts — only how they are grouped into documents. It does not defer anything into a different period, and credit notes are produced either way.
Order edits
An edit to an order already invoiced produces a supplementary invoice or a credit note rather than rewriting the original, under either strategy. See editing an order after posting.
