Create a customer account

An account is the business you trade with — the commercial relationship the individual buyers sit under.

Under Customers → Accounts.

Steps

  1. Go to Customers → Accounts and add a new one.
  2. Enter the Account name and a Code.
  3. Choose the Organisation and the Currency.
  4. Choose the Type — Trade unless it is one of your own organisations (Inter-company) or a partner reselling under their own brand (Reseller).
  5. Set the commercial fields you want recorded.
  6. Save.
  7. Link the buyers who order for this business.

Know which fields do something

Not every field on this form is a control, and it is worth knowing which before relying on one.

These act:

  • Currency — the currency of the account's orders.
  • Payment terms (days) — used unless the individual buyer has their own.
  • Invoicing strategy override — decides how this account is invoiced, and overrides the channel.
  • Xero contact id — the reference used when posting.

These only record:

  • Credit limit — nothing checks it. No order is blocked or flagged for exceeding it.
  • Fulfilment policy — nothing reads it. Picking behaves the same either way.

Set the recorded ones if they capture an arrangement a colleague should see. Do not rely on them to enforce anything. See what an account decides.

Invoicing strategy

Leave it on Channel default unless this business wants something specific. Setting it here beats whatever the channel would have done — see set an account's invoicing strategy.

No price list

An account cannot be given its own price list from the Yessort screens; there is no field for it. If this business has agreed prices, that has to be handled another way. See sales price lists.

Afterwards

An account with no buyers linked does nothing. Link the customers who order for it — that link is what makes their orders trade orders.
