Reading a variant's stock

Under Inventory → Variants, each variant has a page answering the question people ask most often: how much have we got, and where is it?

It shows three different things at once, and knowing which is which makes it far easier to read.

The current figures

How much of this variant exists, split by what it is doing.

Available is the sellable part. Committed is allocated to an order but not yet picked. Incoming is on its way to you. Dispatched has been staged to leave.

These are the same buckets used everywhere else in Yessort, and stock quantities defines each one precisely. Worth reading once — on-hand is the sum of eight buckets, and only one of them is sellable.

Stock by location

The same total broken down by where it physically sits.

This is what turns "we have forty" into something actionable. Forty spread across four locations at two sites is a different situation from forty in one place, and only this view tells you which you have.

It is also where an unexpected total usually explains itself — stock sitting in a receiving location that was never put away, or at a site you were not thinking about.

Movement history

Every change to this variant's stock, most recent first, with what caused it and who did it. You can filter by reason or by person.

One action often writes two rows. A bin-to-bin move records a leg out and a leg in; a transfer records one at each site; picking records a leg out and a paired leg into dispatch staging.

That is correct rather than double counting, and it is the single most misread thing on the page. See the stock movement record.

Purchasing signals alongside

Last ordered and lead time sit next to the stock figures, so the question "should I order more?" can be answered without leaving the page.

They come from purchasing rather than from stock — see reordering.

Lot information

Where a variant is tracked in lots, expiry and best-before dates appear against the stock.

Not every variant has lots. A variant without them simply shows no lot information, which is normal rather than missing data.

Two views of one variant

This page is the stock view. There is also a catalogue view of the same variant — its identity, brand and lifecycle — under Products.

Same variant, two lenses. See how the catalogue works.

When a figure looks wrong

Check the location breakdown before anything else; most surprises are stock sitting somewhere unexpected rather than a wrong number.

If a location is showing less than zero, that is a real and supported state with its own recovery queue — see how negative stock happens.
