Set a site's default printers

Defaults decide where a job goes when nothing more specific applies. A site has three, and the difference between them matters.

Under Printing in your settings. Needs organisation-admin access.

The three defaults

DefaultUsed for
Shipping labelCourier labels
Thermal labelProduct, location and licence-plate labels
DocumentPacking slips, pick lists — and item labels where no thermal default is set

Set the thermal-label default

The one most worth getting right, because of what happens when it is missing.

Without it, product and location labels fall back to the document default — usually an A4 laser printer. They do not fail and they do not wait; they come out as small labels on a sheet of paper.

That fallback exists so sites that printed labels somewhere before keep working rather than stopping. But if labels are appearing on A4, this is almost always why.

Steps

  1. Go to Printing in your settings.
  2. Find the site.
  3. Set each default to a discovered printer.
  4. Save.

Choosing

Shipping label — the thermal printer holding courier label stock, usually 4×6.

Thermal label — the thermal printer holding your product label stock. Often a different machine with smaller labels.

Document — a normal office or warehouse printer with A4 paper.

Where one thermal printer does both jobs, set it as both. The stock check will flag when the wrong labels are loaded for a job.

Defaults are per site

Each site has its own three. A printer at one site is never a default for another — sensible, since it is in a different building.

When you need something narrower

Defaults are the fallback. For "DPD labels go to the Zebra with DPD stock", use a routing rule, which is consulted first.

Checking

Print a test of each kind — a product label, a packing slip, and a courier label if you can — and see where each lands. See how a printer is chosen.
