Goods receipt statuses

A goods receipt moves through four statuses. Only a posted receipt has moved stock, cost and the accounting journal — nothing before that point has touched inventory.

Draft (draft)Being built — lines can still be added, changed or removed.Created when you start receiving a delivery, whether against purchase orders, transfers, or as an ad-hoc receipt with no order behind it.
In review (in_review)Submitted for someone else to check before it posts.Set by Submit for review. Reopening it returns it to draft and clears who submitted it.
Posted (posted)Stock, cost and the accounting journal have all moved — the receipt is done.Set by posting, from Draft or In review. A posted receipt cannot be edited, corrected or reversed.
Cancelled (cancelled)Abandoned before posting — no stock or cost movement happened.There is currently no way to cancel a receipt in Yessort.

Posting a receipt needs two permissions: the one that lets you edit purchasing records, and Accept receiving discrepancies. Someone holding only the first gets Submit for review instead of Post, and their receipt waits for someone with both to post it.

Line statuses

Each line on a receipt carries its own status, separate from the receipt's overall status above — a receipt can be Posted while one of its lines still reads Short or Over.

Partial (partial)Less than the expected quantity has been received, and the receipt is still open as a draft.
Complete (complete)The full expected quantity has been received.
Over (over)More than the expected quantity has been received.
Short (short)Less than the expected quantity has been received, and the receipt has been submitted for review or posted.
Damaged (damaged)Some or all of what's been received on this line was recorded as damaged, not good stock.
Unexpected (unexpected)Something was scanned or added to the receipt that isn't on any of the purchase orders or transfers the receipt covers.

An under-received line changes label as the receipt moves on: it reads Partial while the receipt is still an open draft, and Short once the receipt has been submitted for review or posted.
