Settle with a trading partner
This is for either organisation in a trading pair. Settling posts real documents to both organisations' accounting systems, so it's worth reading intercompany settlement before you do it for the first time.
Open the intercompany settlement screen
There's no sidebar entry for this screen. The only way in is from transfers.
- Select Transfers in the sidebar.
- Select Settlement in the page header. It looks like a button but it's a link, and it's the only action in that header.
- Make sure you have a single organisation selected rather than All organisations. Viewing across all of them, this screen always shows a card titled Nothing outstanding, whatever your organisations actually owe.
Read a partner card
You get one card per trading partner with something outstanding between you.
The card names the partner, gives the netted total as a positive figure, and puts a badge beside it reading We owe or Owed to us to tell you which way it runs. Underneath, a count of unsettled charges and the date of the oldest one. That count covers both cross-organisation transfers and cross-organisation sales together, without separating them.
If the partner has cross-organisation sales Yessort couldn't price, the card also shows how many are awaiting an intercompany price. Those aren't in the total. A partner whose only outstanding items are unpriced ones shows a zero total and a Settle now that can't be selected — there's nothing to settle until the pricing is resolved.
Settle the balance now
Select Settle now on the partner's card.
This settles that pair ahead of its cadence. It isn't what makes intercompany settlement happen — that happens on its own schedule regardless — it just brings it forward. Yessort nets every outstanding charge in both directions and posts either a sales invoice and a matching bill, or a credit-note pair if the total runs the other way, or nothing at all if it nets to zero.
You'll get a confirmation telling you what was posted. If it tells you the balance was held back rather than posted, the reason is one of two things and it may be at the other organisation's end rather than yours: the Intercompany posting stream is switched off for one side, or one side's accounting connection or account codes aren't set up. Both are fixed in that organisation's accounting settings, and nothing settles for either of you until they are.
Set how often the pair settles
Beside Settle now is a dropdown showing that pair's cadence. Its visible text reads Auto-settle: Monthly — or Auto-settle: Weekly, or Auto-settle: Daily — with the current setting spelled out.
- Open the dropdown on the partner's card.
- Choose Daily, Weekly or Monthly.
The change takes effect straight away, and Yessort confirms it. Daily settles that pair on every overnight run, weekly settles it on Mondays, and monthly settles it on the 1st. Every pair starts out on monthly. This is the only part of a trading relationship you can change in Yessort.
Where a pair has no trading relationship set up, there's no dropdown to open — a plain label reading No active trading relationship appears in its place. You can still settle what's outstanding with Settle now; you just can't change that pair's cadence until the relationship exists, and that's arranged by Yessort rather than in the app. Until then it settles on the monthly default, on the 1st of each month, exactly like a pair that has one.
