Raise and dispatch a transfer

A transfer moves stock from one of your sites to another. Raising one is three pieces of work: build the draft, confirm it to hold the stock at the source site, then dispatch it when it physically leaves.

  1. Go to Inventory → Transfers.
  2. Select New transfer. A dialog of the same name opens — "Move stock from one site to another."
  3. Choose the site the stock is leaving and the site it is going to. The two must be different.
  4. Select Create draft. Yessort creates the transfer, numbers it TRF- plus six digits, and opens it so you can add lines.
  5. Add the lines. Search for stock at the source site — the search box reads "Add an item from" plus the source site's name — and set a quantity for each variant you want to move. A transfer needs at least one line before it can be confirmed, and lines can only be added, edited or removed while the transfer is still Draft.
  6. Confirm the transfer. Confirm is normally a menu item inside the split button at the top of the document rather than the primary button itself — open the dropdown to find it. Confirming reserves the requested quantity at the source site and holds it at specific source locations; no stock moves yet. If the source site couldn't hold everything you asked for, Yessort confirms with what it could hold and reports the difference — see transfer shortfalls.
  7. Optionally pick the transfer. While it is Open you can select Start pick to work it as a pick run, so the units are scanned out of their locations like any other pick. This is a choice, not a requirement.
  8. Dispatch the transfer. Selecting Dispatch opens a dialog headed "Dispatch" with the transfer's number, where you can record an optional Carrier and Tracking number. Select Dispatch in the dialog footer to send it.

The transfer is now In transit. Print the Transfer note to travel with the stock, and receive it at the destination site when it arrives.

Confirm and dispatch in one go

When both steps are available to you at once, the primary button reads Confirm & Dispatch — Yessort composes the label from the steps it is about to run. Selecting it confirms and then dispatches in sequence, so use it only when the stock is genuinely going out now.

What dispatch sends

Dispatch sends everything currently held in one go, and releases the rest back to normal stock at the source site. If a pick run has already worked the transfer, it sends what was picked instead. Either way it is a single shipment — a transfer can't be dispatched in instalments, so anything left behind needs its own transfer.

Two things will stop a dispatch:

  • A live pick run on the transfer. Finish or cancel the run first; Yessort refuses to dispatch while a pick run on the transfer is still open or being picked.
  • Missing permission. Confirming and dispatching both need the Manage inventory permission. Without it the advance button doesn't appear on the document at all, so if you can see a transfer but no way to move it on, that is why.
